Shop Intake – Privacy Policy

Shop Intake is a private, in-house application used only by Greenville Tech Co. ("we", "us") in Greenville, Texas, to check in customer devices, track repairs, and send invoices to our own QuickBooks Online account. It is not offered, sold, or licensed to any other business or to the public.
Information we collect
From customers at check-in: name, phone number, email address, organization (if any), contact preference, a description of the device and the problem, the device's serial number, and a signature agreeing to our service terms.
From repairs: diagnostic notes, parts, labor, prices, payment method, and technical details about the customer's computer (such as hardware specifications and installed programs) when the customer has asked us to service it.
From QuickBooks Online: only what is needed to create invoices and record payments in our own company — customer records, product and service names, invoice and payment IDs, and amounts.
How we use it
We use this information only to perform and bill for the repair work the customer requested, to contact the customer about that work, and to keep our own business and tax records. We do not use it for advertising.
Sharing
We do not sell, rent, or share customer information with third parties. Invoice information is sent only to our own QuickBooks Online account, operated by Intuit Inc. under Intuit's privacy policy. We may disclose information if required by law.
Where it is stored and how it is protected
Shop Intake runs on a computer inside our shop and is reachable only from our shop network. Staff screens require a PIN. The connection to QuickBooks Online uses Intuit's secure OAuth 2.0 sign-in; we never see or store QuickBooks passwords. Our daily backups are kept under our control.
How long we keep it
We keep repair records as long as needed for warranty, customer service, and our legal and tax record-keeping obligations, then delete them.
Your choices
Customers may ask to see, correct, or delete their information by contacting us. We can disconnect Shop Intake from QuickBooks Online at any time, which stops all data exchange with QuickBooks.
